SALON POLICIES

Life can be a real pain at times, and we understand that every now and then things don’t work out as planned. However, we are a small business that relies on having our clients turn up to their booked appointment, not only so that we can pay the stylist that is at work ready to do your hair, but also so we can pay to keep the electricity on and the doors open.

 

When you don’t attend your appointment or don’t give us enough notice that you can’t attend, that also means that we have turned away other clients because that time was allocated to you specifically for that service, which is not fair on us, or the other client.

 

So, to protect all of our loyal client’s appointments, to protect our business from loss of trading, and to ensure your appointment is relaxing and enjoyable, we have adapted the following salon policies. We may use or discretion and waive the policy where we deem necessary.

 

We greatly appreciate your support of our business and we will endeavour to provide the utmost professional service to you at every appointment.

  • All new clients will be required to leave a $50 deposit to secure their first appointment, which will be deducted from the cost of the actual appointment. Deposit will only be refunded or transferred, when more than 48-hours notice is provided for cancellations.
  • All existing clients will be required to leave credit card details to secure future appointment. If no credit card can be obtained, a $50 advanced deposit must be paid to secure the appointment.
  • All no-show clients, and cancellations within 24 hours of the appointment may incur a $150 fee, or the full cost of the appointment, whichever is the lesser.
  • We run by appointment, therefor late arrivals of 15 minutes or more may be unable to be serviced, and if so, the cancellation policy will apply.
  • All no-show and late cancellation clients will be required to pay a deposit for all future appointments at Your Hair & Beauty Bar, and repeat offenders may be refused a future booking.
  • Booked services cannot be cancelled on arrival of appointment.
  • All clients will be sent a confirmation email four days prior to their appointment and a text message 2 days prior to their appointment. Failure to confirm 24 hours prior to your appointment will result in the appointment being cancelled.
    Please note: it is an automated system and can only receive “YES” or “NO” responses, no personal messages please.
  • Our highly trained technicians provide professional colour results using the finest products available. Your Hair & Beauty Bar cannot guarantee lasting results if you swim regularly or are not using recommended home hair care purchased from Your Hair & Beauty Bar
  • As per the Small Business and the Competition and Consumer Act, any problems with your service must be reported within 1 (one) week (seven days) of the original service by phone call or in person. As per the Small Business and the Competition and Consumer Act, Your Hair & Beauty Bar will then fix the service or replace the product at no charge, within 1 (one) week of the report of the fault.
  • All prices include GST. All prices are subject to variation without notice. To obtain a quote, please schedule a free consultation at Your Hair & Beauty Bar.
  • Due to QLD’s strict OH&S laws, all children under the age of 18 that are not receiving a service must remain seated on the front sofa and are not permitted to be on the salon floor unless there is a spare seat next to you. We work with hazardous chemicals, sharp and very hot tools, your child’s safety is important to us and it should be to you too.
  • Out of respect to all of our clients who spend their hard-earned money to have valued relax and pamper time with us, unruly and loud clients and/or their children will be asked to leave the salon.

 

  1. Cancellations
  • We understand that things can come up. We value your time, and we hope you value ours, too. In the event you need to cancel your appointment, please be sure to notify us no later than 48 hours before your scheduled appointment. Failure to notify us in time will incur a cancelation fee. All no-show clients, and cancellations within 24 hours of the appointment may incur a $150 fee, or the full cost of the appointment, whichever is the lesser.

 

 

  1. Late Arrivals

We know life can be unpredictable and if for any reason you are going to be late to your appointment, please notify us. We work hard to schedule the necessary amount of time needed for each service. Accommodating late arrives is sometimes impossible without disrupting other clients scheduled appointment that day. Please be aware that if you arrive more than 15 minutes late we cannot guarantee your full service will be performed that day. In some cases we may need to reschedule your appointment all together.  

 

  1. No Show

When an appointment is scheduled for you and you do not show up, you are automatically marked down as ‘no show’ in our computer system. You will be required to put down a 50% non-refundable deposit of your service next time you book. After 2 no shows, you will not be able to book in advance. If you would like to have a service done, you will need to call the day of.

 

  1. Kids In Salon

We welcome children of all ages in salon, though we strive for every client to receive 100% relaxation and comfort. All children under the age of 16 must have supervision from their guardian, we will not tolerate children playing on our chairs, swinging on our furniture, running in salon or any kind of disturbance in the salon, in general. We love seeing your children, but please be aware hair appointments can take several hours and we do not accommodate a play area for children, bringing their own entertainment is recommended. 

 

  1. Refunds

We take extra care to ensure that you have a fantastic hair and beauty experience both with your styling and in salon. Your stylist will take time to consult with you before your service to understand your requirements and will do what she/he can to meet your expectations. If for any reason you are not 100% happy with your experience please contact the salon within 7 days of your appointment to discuss your concerns. If suitable a revisit of your colour, style or beauty services may be offered to you as per the salon manager / owners’ direction. Beyond 7 days, you will be required to make a rebooking and be subject to agreed costs for any further colouring, cutting, styling or beauty that is desired. No refunds will be given for colour, styling or beauty services. Products may be exchanged if unopened and in original packaging.

 

  1. Covid-19
  • Please do not make bookings if you have experienced or are experiencing any flu like symptoms, have been overseas in the last 14 days or been in contact with a person who has flu like symptoms, please do not make a booking to come into the salon for the safety of our staff and clients.

For example, if you post something on Instagram, Facebook, Pinterest, Twitter, or YouTube, that information is governed by the privacy policies on those websites, and is not governed by this Privacy Policy.

  • You purchase a gift card for redemption on our Site;

  • You participate in promotions and giveaways or any request for additional data such as customer surveys;
  • You complete any client waivers and consents;
  • You make an appointment with us through an online booking system;

  • You voluntarily submit your data to us for any reason.

  • Financial Information (bank details when you are making a purchase);

  • Data on how you use our Site (URL clicks, products and services views, how long you are on our pages and other actions).

When you book a service via our website or in our salon, you may be required to provide additional information, such as information about your body type, skin type, hair type, hair condition, treatment regime, any medical conditions etc.  We will not collect this information without your explicit consent.  We treat this information with particular sensitivity as we understand that it can reveal information about your health or ethnicity.  You do not have to provide this information to us, although we may not be able to provide you with certain services if you do not and can delete or update this information at any time.

Google Analytics and Facebook

Google

We use Google Analytics functions.  You can find out how your data is collected here and there are instructions here on how to opt-out of Google Analytics data tracking.

Our use of Google Analytics may include but is not limited to display advertising and remarketing.  You may see our adverts across the internet, this is due to the use of tracking technologies (cookies) to optimise and serve our adverts based on past visits to our Site.  When you log onto our Site, we, with the help of Google Analytics, use your browsing behaviour to connect this with other data that you previously provided to us in accordance with this privacy policy.

Facebook

We use Facebook Insights to track your interaction with our Facebook page http://www.facebook.com/yourhairandbeautybar , this will allow us to track usage and improve the performance of our page.  We will use Facebook Analytics to better measure, track and understand customer user experience to enable us to improve our products and services that we offer.  You can check out Facebook’s privacy policy here and if you want to opt out of seeing ads on Facebook based on information we have received, you can control this in your ad preferences here.

Don’t provide us with personal data

You can choose not to provide us with any personal data. However, if you do this, we will not be able to provide you with any products or services, however, you can continue to use our Site and browse the pages of our Site.

Turning off cookies

Our Site uses cookies and similar technologies to provide certain functionality to our Site.  You can turn off cookies by activating the setting in your browser that allows you to do this.  You can also delete cookies through your browser settings.  If you do decide to turn off cookies, you can continue to use the Site, however, certain services may not work as effectively.

Don’t want marketing?

You can contact us to ask us to correct any information we hold about you, that you believe is inaccurate.

Objections to using data for profiling or automated decisions

We may use your data to determine what products and services are relevant to you (e.g. tailoring our emails based on your behaviour).  Otherwise, the only circumstances in which we will use this data is to provide our products and services to you.

You have the right to be forgotten

You have the right to request for your data to be erased.  This means we have to delete all information that we hold about you, except to the extent of any information we are required to hold due to our legal obligations.

You have the right to make a complaint regarding the use of your data

HOW SECURE IS THE DATA COLLECTED

We realise that our customers trust us to protect their data and whilst we cannot guarantee the security of any information you transmit to us, or receive from us, we take that task seriously and maintain reasonable and appropriate physical, electronic and procedural safeguards to help protect your data.  This includes the following:

  • Password access to accounts;
  • Storing electronic data with reputable third party storage providers who have appropriate security protections;
  • Limit access to personal information to individuals who need to know;
  • Using payment providers who are PCI DSS compliant; and
  • We do not store your payment details.

Where do we store data

We use service providers based in Australia and where we use or are required to use through our third party services providers that retain data overseas, we will ensure that your privacy rights are adequately protected by ensuring these service providers have the same or similar measures in place to protect data shared.

How long do we store data

We will keep your data for as long as we need it and this period will also depend on your interactions with us.  If you have made a purchase with us, we will keep a record of your purchase for the period necessary for invoicing and tax purposes.  When we no longer need to keep your information, we will delete it.

Third parties who process your data

We share data with third parties in the following circumstances:

  • Other companies in our group of companies, as necessary to operate our Site;
  • Our suppliers and service providers working for us e.g. payment processors;
  • Our professional and legal advisors;

    • Other third parties such as Active Campaign and MailChimp for processing and holding Data that enables us to ensure you are kept informed of our products and/or services, logins and marketing material, offers, promotions, newsletters and blogs.

Payment Security

All are our real time credit card authorisations are handled by secure third party gateway providers and these are secured by the highest level of security.  The following measures are taken to protect your data:

  • Payments are fully automated with an immediate response.
  • Your complete credit card number cannot be viewed by us or any outside party.
  • All transaction data is encrypted for storage within our third party gateway suppliers bank-grade data centre, further protecting your credit card data.
  • Our third party gateway provider is an authorised third party processor for all the major Australian banks.
  • Our third party gateway provider will at no time touch your funds, all monies are directly transferred from your credit card to the merchant account held by us.

 

We use third party gateway providers that are widely respected for providing secure and reliable online payment solutions. We have chosen to deal with the best so you can feel safe that your personal information is kept safe and secure at all times. While we attempt to protect the information in our possession, no security system is perfect and we cannot promise that information about you will remain secure in all circumstances.

The Payment Card Industry Data Security Standard (PCI DSS) is an information security standard for all organisations that handle branded credit cards from major card schemes.  PCI DSS is a standard mandated by the card brands like Visa, Mastercard, American Express and Discover and is managed by the PCI Security Standards Council.

PCI-DSS requirements help ensure the secure handling of credit card information through our Site and the service providers.

We may use web beacons (or clear gifs) on our website and in our emails. So basically when we send emails, we have the ability to track behavior such as who opened the emails, who clicked the links and collection information such as your IP address, your browser or email type, we then put this information together to improve the performance of our email campaigns and provide you with better and/or services specific to your needs. You will always have the ability to opt out of any emails we send just click the link in the email that says “unsubscribe”.
